Oral communication

The exchange of verbal information between the sender and the reciever is known as oral communication.

Oral communication is an interaction that uses only spoken words.



CHARACTERISTICS 

Instantaneous two-way process 

You get instant replies or responses and the communication takes place in real time.

One-off excercise 

It is an one time effort, nobody can speak or deliver information same way as did once or earlier.

Use of day-to-day language 

Most preffered form in day to day life as it mostly uses one's native language or mother tongue.

Presence of sender & reciever at the same time 

As it is a  communication taking place in real time and instant replies are possible.

Follows a set of principles 

To ensure good communication and right information delivery.

Effect of body language and speech modulation 

One's facial expressions, body movements, tonal quality, eye contacts say a lot about his intentions and defines his communication purpose.

It cannot be erased or undone

A word once said can't be taken back.
Its obvious and doesn't need any explaination.

Written communication

The communication that takes place with the help of written symbols(words, sentences, graphs, etc) either hand written or printed is known as written communication.

Written communication is the most popular form of business communication.

■■■■Communication is a solution of any attempt that involves at least two persons.■■■■

Characteristics 

Most formal form of communication

As mostly used for formal/business purposes.

Exercised for documentation 

Gives an evidence advantage as records can be maintained.

Used to circulate information, order or instructions 

Used in formal communication within or outside of an organisation.

Conventional in nature 

Prevailing since ages.

Sender and reciever need not to be present at same time 

No instant replies (except real-time chatting).

Creative activity 

As it involves thinking, drafting and then sending the message or information.

Involves time factor  

Not a real time activity thus commonly involves more time than oral communication.


Purpose of writing

1. Informative writing 

Writing with the intention to spread awareness about any topic or to inform about any topic in detail or just a introduction of it.

2. Arguementative writing 

Writing with the intention to make or persuade the reader to abide by the information sent. 


Principles of written communication

Place the reader first 

Have you-attitude and always write by considering reader's understanding level.

Keep it to the point 

Only deliver all the relevant, necessary and useful information regarding the topic written.

Set the right tone 

Be polite, friendly but professional while addressing reciever.

Write a strong opening and closing 

Always introduce and conclude about the topic in an effective, impacting and convincing manner.

Advantages of written communication

No information distortion 

As what is written will be conveyed the same way as once, no meaning will differ of the same sentences on communicating many times.

More precise and to the point 

As it involves thinking and then drafting message effectively.

Economical 

Cheaper and feasible

Record maintainance

Evidence is always there to maintain records.

Disadvantages of written communication

Time consuming 

As it is not a real-time communication.

Formal 

Mostly used for formal purposes.

Lack of instant feedback

As it involves time factor.
